Travel Services & Independent Suppliers

Journey With Us Travel Agency LLC (“Journey With Us Travel Agency LLC,” “we,” “us,” or “our”) provides travel planning, advisory, and booking services to clients. Travel arrangements are fulfilled by separate and independent travel suppliers, including airlines, cruise lines, hotels, resorts, tour operators, transportation providers, excursion companies, and other third-party vendors.

Journey With Us Travel Agency LLC does not own, operate, control, or provide the services offered by these independent suppliers. When you book through Journey With Us Travel Agency LLC, we act as your travel advisor and, where applicable, as your agent in arranging travel services on your behalf.

Because travel services are provided by independent suppliers, Journey With Us Travel Agency LLC is not responsible for the acts, omissions, negligence, representations, warranties, delays, cancellations, schedule changes, injuries, losses, damages, or failures of any travel supplier or other third party.

Journey With Us Travel Agency LLC is also not responsible for circumstances beyond our reasonable control, including weather, natural disasters, acts of government, strikes, civil unrest, pandemics, mechanical failures, transportation disruptions, or other unforeseen events that may affect your travel arrangements.

If a problem occurs during your trip, Journey With Us Travel Agency LLC will make reasonable efforts to assist you and communicate with the applicable supplier when appropriate. However, our assistance does not make Journey With Us Travel Agency LLC responsible for the supplier’s actions, omissions, or performance.

All travel arrangements are subject to the terms, conditions, policies, and cancellation provisions of the applicable travel supplier. By booking through Journey With Us Travel Agency LLC, you acknowledge that you are also subject to those supplier terms and conditions.

Pricing & Availability

Journey With Us Travel Agency LLC will make every reasonable effort to honor the price quoted at the time of booking. However, travel prices are subject to availability and may change before a reservation is secured and, in some circumstances, after a deposit has been made.

Additional costs may be imposed by a travel supplier or government authority due to changes in taxes, fees, fuel surcharges, currency fluctuations, supplier pricing, or other applicable charges.

Airfare is particularly subject to change until ticketed. Seat assignments, checked baggage, airfare, fuel surcharges, and government-imposed taxes or fees may increase after an initial quote or deposit. Not all airfare is eligible for payment plans.

A quoted price does not guarantee availability until the applicable reservation and/or payment requirements have been completed and confirmed.

Travel Documents & Passport Requirements

Travelers are responsible for providing Journey With Us Travel Agency LLC with accurate legal names and other required traveler information. Names provided for reservations must match the traveler’s government-issued identification and applicable travel documents.

Name changes may not be permitted after airline tickets or other travel arrangements have been issued and may result in additional fees or cancellation of the original reservation.

Travelers are responsible for obtaining and maintaining all required travel documents, including passports, visas, entry permits, identification, vaccination or health documentation, parental consent documentation, and any other documents required for their specific itinerary.

Passport validity requirements vary by destination and may include a requirement that a passport remain valid for a specified period beyond the traveler’s return date. To protect ourselves and your investment, we require passports to be valid for a minimum of 6 months from the return date of trip.  Some destinations may also require a minimum number of blank passport pages, usually 2-4 pages.

Travelers are responsible for reviewing the current entry and travel-document requirements for every destination on their itinerary, including connecting and transit countries. Requirements can change at any time.

Journey With Us Travel Agency LLC may provide general travel-document information or direct travelers to appropriate government resources; however, the traveler remains ultimately responsible for ensuring that all required documents are obtained and valid.

For U.S. travelers, official information regarding passports and international travel is available through the U.S. Department of State, and identification requirements for air travel are available through the Transportation Security Administration (TSA).

Entry Requirements & Denied Entry

Journey With Us Travel Agency LLC does not guarantee that a traveler will be permitted to enter any destination.

Each traveler is responsible for determining whether they meet the entry requirements of the countries and destinations included in their itinerary. This may include requirements relating to passport validity, visas, vaccinations, health documentation, criminal convictions, prior immigration violations, parental consent for minors, or other circumstances that may affect eligibility for entry.

Travelers should also be aware that immigration and customs authorities have the final authority to determine whether an individual may enter a country.

Criminal Records & Destination Entry Requirements

Travelers with a criminal conviction, including felony convictions, are responsible for determining whether their criminal history may affect their ability to enter or transit through a destination. Some countries have specific entry restrictions related to criminal convictions.

Journey With Us Travel Agency LLC cannot determine a traveler’s admissibility or guarantee entry into any destination. Travelers with a criminal record should contact the appropriate embassy, consulate, or immigration authority before making non-refundable travel arrangements to confirm eligibility and any required documentation.

If a traveler is denied boarding or entry because of their criminal history or failure to obtain required authorization, Journey With Us Travel Agency LLC is not responsible for resulting costs, missed travel, cancellation penalties, or other financial losses.

If a traveler is denied boarding or denied entry into a destination because of missing, incorrect, expired, or insufficient documentation or because of circumstances specific to that traveler, Journey With Us Travel Agency LLC is not responsible for resulting costs, missed travel, cancellation penalties, or other financial losses.

Travelers should verify requirements directly with the appropriate government authorities before departure.

Deposits & Reservations

A deposit and completed traveler information/registration form are required to secure a reservation when required by Journey With Us Travel Agency LLC or the applicable travel supplier.

Reservations are not considered confirmed until the required deposit or payment has been received and the applicable supplier has confirmed the reservation.

Deposits are subject to the cancellation, refund, and payment policies of the applicable travel supplier and/or the terms provided to the client at the time of booking.

Certain travel arrangements may have non-refundable or non-transferable deposits.

Payment Plans & Monthly Installments

When a payment plan is offered, the following terms apply:

  • Once a reservation has been secured with a deposit, any required minimum monthly payment must be received by the due date shown on the client’s invoice.
  • Journey With Us Travel Agency LLC may send courtesy reminders regarding upcoming payments. However, the traveler is ultimately responsible for monitoring their balance, payment schedule, and final payment deadline.
  • Travelers may make additional payments toward their balance at any time, provided required minimum payments are current.
  • Unless otherwise stated on the invoice or booking terms, Journey With Us Travel Agency LLC allows a three-day grace period for regular monthly installment payments.
  • After the grace period, a $25 late fee may be assessed.
  • There is no grace period for final payment deadlines. Failure to make final payment by the supplier’s required deadline may result in cancellation of the reservation.
  • If a reservation is canceled because required payments were not made by the applicable deadline, any amounts paid may be forfeited according to the travel supplier’s cancellation policy.
  • Amounts forfeited due to non-payment are not guaranteed to be refundable or transferable to another trip.
  • Purchasing travel protection does not necessarily make payments refundable if a reservation is canceled for non-payment. Coverage is subject to the specific terms, conditions, exclusions, and limitations of the travel protection plan.
  • Where a supplier imposes a different payment schedule, cancellation policy, or deadline, the supplier’s terms will apply.

Roommate & Shared Accommodations

When two or more travelers are sharing accommodations and intend to make separate payments, each traveler may be required to complete their own registration information and submit their required deposit within the timeframe specified by Journey With Us Travel Agency LLC or the applicable supplier.

Each traveler sharing a reservation is responsible for ensuring that their portion of the reservation is paid according to the established payment schedule.

Travelers sharing a room are also responsible for communicating with one another regarding payments. If one traveler fails to make required payments and the reservation’s occupancy changes as a result, the remaining traveler(s) may be responsible for any resulting increase in the per-person cost.

For example, a reservation originally priced based on double occupancy may be repriced by the supplier if one traveler cancels or fails to pay and the remaining traveler becomes subject to a single-occupancy rate.

Journey With Us Travel Agency LLC may provide a payment summary upon request, where available, but is not responsible for collecting payments from one roommate on behalf of another unless specifically agreed to in writing.

Travel Insurance & Protection

Journey With Us Travel Agency LLC strongly recommends that travelers consider travel insurance or travel protection appropriate for their trip.

Travel protection may provide benefits for certain covered circumstances, such as trip cancellation, interruption, delays, baggage issues, medical emergencies, or other covered events. Coverage varies by plan and is subject to the policy’s terms, conditions, exclusions, and limitations.

Travel protection does not guarantee reimbursement for every cancellation, loss, or change.

Travelers are responsible for reviewing their policy carefully and determining whether the coverage meets their individual needs.

Client Responsibility

Travelers are responsible for:

  • Providing accurate traveler information and legal names.
  • Reviewing all invoices, confirmations, and travel documents for accuracy.
  • Making required payments by the applicable deadlines.
  • Obtaining required passports, visas, identification, and other travel documentation.
  • Reviewing destination entry requirements and travel advisories.
  • Informing Journey With Us Travel Agency LLC of relevant travel needs or restrictions that may affect arrangements.
  • Reviewing applicable supplier terms and cancellation policies.
  • Arriving at airports, ports, hotels, transfers, excursions, and other scheduled activities at the required time.
  • Confirming that they are physically and otherwise able to participate in planned activities.
  • Notifying Journey With Us Travel Agency LLC as soon as possible if an issue arises with a reservation or while traveling.

Travelers are encouraged to review all booking confirmations carefully and promptly report any errors or discrepancies to Journey With Us Travel Agency LLC.

Changes, Cancellations & Refunds

Changes and cancellations are subject to the policies and deadlines established by the applicable travel supplier.

Journey With Us Travel Agency LLC will communicate applicable cancellation policies and deadlines to the traveler when those policies are available to us. However, supplier policies may change and certain penalties may apply once a reservation is made.

Journey With Us Travel Agency LLC is not responsible for non-refundable amounts, supplier cancellation penalties, fare differences, change fees, or other charges imposed by a travel supplier.

Where a refund is approved by a supplier, the timing and method of the refund are determined by the applicable supplier and/or payment provider.

Force Majeure & Unforeseen Circumstances

Journey With Us Travel Agency LLC shall not be responsible for delays, cancellations, interruptions, losses, or additional expenses resulting from circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, acts of government, war, terrorism, civil unrest, strikes, labor disputes, pandemics, transportation failures, mechanical issues, or other unforeseen events.

When such circumstances occur, Journey With Us Travel Agency LLC will make reasonable efforts to assist travelers in communicating with applicable suppliers and identifying available options. Any refunds, credits, rebooking options, or compensation will be subject to the policies of the applicable supplier.

Acceptance of Terms

By submitting a reservation request, completing a booking, making a deposit or payment, or otherwise authorizing Journey With Us Travel Agency LLC to arrange travel services on your behalf, you acknowledge that you have read, understood, and agree to these Terms & Conditions, as well as the applicable terms and conditions of the travel suppliers associated with your reservation.

These Terms & Conditions apply to all travelers included in the reservation unless otherwise stated in writing.

By proceeding with a reservation, you acknowledge that you have had the opportunity to ask questions regarding these Terms & Conditions and understand your responsibilities as a traveler.
